Privacy Notice

This notice explains how Syntropic handles information on our public marketing website and in business inquiries.

Effective date: July 21, 2026

This notice is about syntropic.com. It is not a healthcare provider's Notice of Privacy Practices and does not replace the privacy notices that apply to patient care or medical records.

01 / Scope

Where this notice applies

This Privacy Notice applies when you browse the public pages at syntropic.com (the "Site") or contact Syntropic about our company, products, partnerships, employment, press, or another business matter.

It does not govern a healthcare organization's use of the Syntropic platform, patient portals, clinical workflows, or other nonpublic services provided under a customer agreement. Those activities are governed by the applicable agreement, privacy notices, and law.

Information we receive

Information you provide

When you contact us, you may provide your name, work contact details, organization, role, the subject of your inquiry, and anything else you choose to include in your message. If you apply for a role or begin a commercial discussion, we may receive information relevant to that interaction.

Technical information

Systems used to deliver and protect the Site may receive technical data associated with a request, such as an Internet Protocol address, browser and device type, operating system, requested page, referring page, date and time, and security, performance, or error data. This is ordinary infrastructure data, not a clinical record.

Information from others

We may receive business contact information from a colleague, organization, or other person who introduces you or communicates with us on your behalf. Please share another person's information only when you are authorized to do so.

03 / Patient information

The patient-information and HIPAA boundary

Syntropic provides technology to healthcare organizations. In that work, Syntropic may handle protected health information (PHI) or other patient information for a healthcare organization. We handle that information under the applicable customer agreement, including a business associate agreement when required, and applicable privacy and health-information law.

The healthcare organization determines how patient information is used for care and maintains the relationship with the patient. Its Notice of Privacy Practices explains how it uses and discloses PHI and how a patient may exercise rights involving clinical records. This marketing-site notice is not a provider Notice of Privacy Practices.

If your question concerns care, an appointment, a medical record, or patient information maintained for one of our customers, the healthcare organization is the appropriate first contact. It can identify the correct clinical or records channel and, when appropriate, direct a request to Syntropic.

How we use Site information

We use information covered by this notice to:

  • present and deliver the Site;
  • answer inquiries and continue conversations you ask us to have;
  • evaluate potential customer, partner, vendor, press, and employment relationships;
  • operate, maintain, troubleshoot, secure, and improve the Site;
  • detect misuse, fraud, security threats, and technical failures;
  • maintain appropriate business records and manage our relationships; and
  • comply with law and establish, exercise, or defend legal rights.

We may also use information for another purpose disclosed when it is collected or that you request or authorize.

How we disclose Site information

We may disclose information covered by this notice in limited circumstances:

  • Operational support. To companies that provide hosting, infrastructure, email, security, or other functions needed to operate the Site and respond to inquiries.
  • Professional support. To professional advisers when reasonably necessary for legal, accounting, insurance, or similar business matters.
  • Law, safety, and integrity. When reasonably necessary to comply with law or legal process, protect rights or safety, investigate misuse, or address fraud and security incidents.
  • Business changes. In connection with a proposed or completed financing, reorganization, merger, acquisition, or transfer of business assets, subject to applicable restrictions.
  • At your direction. When you ask us to make a disclosure or give us permission.

This section describes public Site and business-inquiry information. Disclosures of patient information handled for healthcare organizations are governed by the separate framework described above.

06 / Site technology

Cookies and site technology

Technical systems used to host, secure, and deliver the Site receive request-level information and may use cookies or similar browser storage where needed for their configured functions. Browser controls can limit these technologies, although doing so may affect how a site works.

As of the effective date, Syntropic does not deliberately use advertising pixels or analytics tools on this Site. That does not mean a visit generates no technical data: hosting, network, and security systems still process the information needed to deliver and protect a webpage. If our practices materially change, we will update this notice as appropriate.

How we protect information

We use administrative, technical, and organizational safeguards designed for the nature of the information and the risks involved. Those measures include practices intended to limit access, protect systems, and identify security problems.

No website, transmission method, or storage system can be guaranteed completely secure. Use care when deciding what to include in an ordinary email or public-site inquiry.

08 / Retention

How long we keep information

We retain Site and inquiry information for as long as reasonably needed for the purpose for which it was received and for legitimate operational, security, legal, accounting, dispute-resolution, and recordkeeping needs. The period varies with the type of information and the relationship involved.

When information is no longer needed, we take reasonable steps to delete or deidentify it, subject to applicable obligations and the operation of backup and security systems.

09 / Your choices

Privacy rights

Depending on where you live and the law that applies, you may have rights to ask whether we process your personal information, obtain access or a copy, request correction or deletion, restrict or object to certain processing, withdraw consent, or appeal a decision. These rights are not absolute, and legal exceptions may apply.

To make a request about Site or business-inquiry information, email hello@syntropic.com. We may ask for information reasonably needed to verify your identity, authority, and the interaction involved. Where applicable law permits an authorized agent, we may also verify that person's authority.

Requests involving PHI or a healthcare organization's records follow a different process. Please start with the healthcare organization as explained in the patient-information section.

10 / Children

Children's privacy

The Site is written for healthcare professionals, organizations, and other business audiences. It is not directed to children, and we do not knowingly solicit children to submit personal information through the Site. If you believe a child has submitted information through the Site, contact us so we can review the situation.

11 / Cross-border access

International visitors

The Site may be accessed from locations around the world. Internet infrastructure and the companies supporting a website may process information outside the place where a visitor lives, where privacy laws may differ. When cross-border protections are required, we handle information in accordance with applicable law.

12 / Other sites

External links

The Site may link to websites or services Syntropic does not control. Those services may collect information directly and apply their own terms and privacy notices. A link does not make this notice apply to that service, so review its privacy information before providing personal information.

13 / Updates

Changes to this notice

We may revise this notice as the Site, our practices, or legal requirements change. We will post the current version here and change the effective date above. When required, we will provide additional notice of a material change through an appropriate channel.
